Tips On How To Organize Orders

We all know that being able to organize is key. Now if you only have a small amount of orders then this won't be too hard but imaging having fifty plus orders. 

Tip #1  If you are taking orders by phone, make sure that you always confirm orders with the person placing orders. 

Tip #2 When you take orders always keep two separate records of orders. This way if you misplace one, you will have another record of the order.

Tip #3 Always draw a line between separate orders just in case you can tell one order from the other. If you have a person placing an order for other people, you could write something like Kim/ordering for Janie & etc....

Tip #4 When taking telephone orders always have a brochure handy when taking small orders. This way you can browse through the brochure while you are taking the order and just make sure that they are giving you the correct information. On orders that are large, this can be done later.

Tip #5 If you are a person utilizing your online web store, make sure that you check your emails often to see if anyone has placed an order.

Tip #6 If you have other people taking orders for you, make sure you tell them know to get a phone number, email address, campaign number, and page numbers for orders being placed. 

Tip #7 As a rule I always tell my clients that they will actually  receive their orders a day before the actual date just to make sure that they have it in their minds to pay for their orders. I really enjoy the clients that pay for their orders ahead of time.

How to manage orders after you receive the orders


People have their own way of organizing but I pack my orders the simple way. I go back over my previous written down orders and the orders submitted online and pack them one by one. I write my clients names on each bag and pack their orders that way. I also tape a receipt to the outside of the bag. This is another way that I can identify orders especially if I have a lot of orders. I then make sure that I check off all orders packed and recheck the order just to make sure that the order is correct.

I make sure that everything the client ordered is there and if it isn't I take a look at the Avon invoice to find out why products are missing.. I simply make notes on a sheet of paper and call clients to let them know what happened with their order and go from there. If Avon will not ship out products that were ordered from a previous order and the client has paid upfront, I make available two options. I refund them their money or ask them if they want to use the money to order something else.

What do I pack in each order?

I pack new samples and brochures. If a person is a first time client then I put a thank you card and a business card in my orders. I always like to include a pack of gum or mints complements of me! :)
